This policy explains how Wellficient Systems LLC (“Wellficient,” “we,” “us”) handles information on the getwellficient.com website and in Wellficient RD accounts. Resident information stored in Wellficient RD is also covered by a HIPAA business associate agreement, described below.
The short version
- This website uses no cookies, analytics, tracking pixels or advertising.
- We use what you send us to reply to you and to run your account.
What we collect
- Contact form. Your name, your email, whether you’re getting started or leaving feedback, and, if you choose, how many facilities you cover and a message.
- Email. Your name, email address and message when you write to us.
- Wellficient RD accounts. The name and email address for each login, access logs, and the business contact details on your agreement.
- Server logs. Like most websites, the service that hosts this site may keep basic logs, such as IP address, browser type and the pages requested, to keep the site running and secure.
Please don’t put resident information in the contact form or in email to us.
The Significant Weight Change Calculator on this site runs in your browser. Nothing you type in it is saved or sent.
How we use it
- To reply to you and set up anything you asked for.
- To run, support and secure Wellficient RD.
- To send notices about your service, such as planned downtime or a fee change.
- To meet legal duties.
Cookies and tracking
This website sets no cookies and runs no analytics, tracking pixels or advertising. Fonts and images load from this site, not from outside services. When you press Send on the contact form, your entries go to Web3Forms, which delivers them to our inbox.
Who we share it with
We share information only with services that help us run Wellficient, and only what they need:
- Web3Forms delivers contact form messages to us.
- Vercel hosts this website.
- Google Cloud hosts Wellficient RD, under Google’s business associate agreement.
We may also share information when the law requires it. If Wellficient Systems is ever sold or merged, this information would move with the business and stay covered by this policy and your business associate agreement.
Resident information in Wellficient RD
Our customers upload resident information to Wellficient RD. We handle it as their business associate under HIPAA, and the business associate agreement each customer signs with us controls it.
- We use only the minimum needed to host, store, back up, maintain and support Wellficient RD for that customer.
- It is stored only in the United States, encrypted, on Google Cloud. Today Google Cloud is the only company with access to it. Any other company would have to sign a business associate agreement first, and we tell customers in writing before that happens.
- We may de-identify it only under HIPAA’s de-identification standard (45 CFR 164.514), and only as the business associate agreement allows, to improve Wellficient RD.
If you are a resident or family member with a question about your information, please contact the facility or the dietitian who serves it. We help them answer requests to see or correct records.
How long we keep it
- Form and email messages: as long as we need them to reply and keep business records.
- Account and resident information: while your service is active. When it ends, we give you a full export, then delete it. Backups expire on their normal schedule, within 30 days, and stay protected until then.

Your choices
You can ask us to show, correct or delete the contact information we hold about you. Email hello@getwellficient.com.
Children
This website and Wellficient RD are for businesses. They are not meant for children, and we don’t knowingly collect information from children.
Changes
If we change this policy, we’ll update it on this page and change the date at the top.
